Explains how to set-up a new project

When should I create a Project

Projects are created automatically for proposals, so there is no need to create proposal projects in this application. When the proposal is won the project automatically transfers to execution with its risk register unchanged.

Execution projects in SAP where you wish to track risks, status or management reserve in this application which were NOT formerly proposals in this application need to be created. Go to the project list and click on the + toolbar button to create a new project, or select the type of project or template you want to reference from the create button menu.

  1. Enter the project title or short description
  2. Select which company in your organization is leading the delivery of this project
  3. Projects should have already been defined in SAP. If so click on "Yes" option and select or enter to search for the SAP project in the box below. The WBS elements and other project key information will be automatically transferred in from your SAP system
  4. If the project data is managed in SAP, meaning that you cannot edit the WBS hierarchy or key data here, then check this box. You should have a policy to determine whether execution project WBS are managed in SAP or not
  5. Select the option for which type or kind of project this is. You can modify project types by working with your implementation consultant
  6. If the project is external, select or search for the customer this project is for, and optionally enter or create a contact at that customer who is responsible for or receiving the results of this project
  7. Select or enter text to search for the project manager from your list of employees
  8. Specify the planned start and end dates
  9. Select the risk policy and opportunity policy to apply to this project. All projects where you manage risks must have a risk and opportunity policy or heat-map to use to classify and manage risks appropriately
  10. Change the project reporting currency if not the default e.g. USD. Proposal costs are tracked in multiple currencies
  11. Optionally enter the target value or cost of the entire project. This information is usually managed in the proposal or in your SAP system
  12. Optionally enter the target profitability - for external projects - and the management reserve
  13. If you manage project status or workflow you will see a "DUE DATES" tab and can update the status by clicking on this link for the next status here.

Management reserve is typically a combination of the risk reserve or sum of weighted risks + opportunities for this project, plus a discretionary reserve for unknown risks.
