How to Upload Documents as Attachments

Explains how to add files to a proposal, risk, project or estimate

Uploading Files

You can upload files wherever you see a button or link text to "Upload ..." or to "View/Edit Files". Sometimes the count or number of files previously uploaded is also displayed.  Click on this button or link to bring the file upload panel as shown below.

  1. Click on "choose a file from desktop" to upload a local file from your computer, or copy and paste in the link to a file in Sharepoint, Google drive or any other on-line file management store being used by your company
    • You can change the name or title of your file once you have selected it, to something more meaningful
  2. Once you have selected a file or pasted in the URL link to your file, click "New File" button to upload a new file
  3. You can optionally edit file properties by clicking on "Show Advanced Properties"
  4. Advanced properties allows you to view or change the file type. Most of the time the file type is fixed and not changeable because the link you clicked on was on a specific tab or page associated with that file type
  5. Advanced properties also permits you to control who can access this file, choosing from the following options:
    • Anyone can download this file
    • Only people authorized to open this document (this proposal etc.) can download this file
    • It is a private file, only you can access it.

View or Edit Existing Files

If you click on the same link when one or more files were previously uploaded you will also see a list of previously uploaded files as shown below

  1. You have the same options to choose a file from your desktop, give it a name, or paste in a document link or URL to a file in your company's document management system
  2. You will also see a list of files previously uploaded, together with an option to download any of these files to your local computer by clicking the download arrow. You can only view downloaded files if you have an appropriate app on your computer per the file's extension
  3. Once a file is selected as well as uploading a new file you have the option to:
    • Replace the selected file with the new file
    • Create a new version of the selected file, the new file is the current version but the previous file is saved as a prior version
    • Delete the selected file without uploading or replacing it
  4. Click on the "Cancel" button to close the file popup without uploading or deleting any files
  5. After you upload a new file version the next time you click on the files button you will see a "versions" button next to your file indicating that there is more than one version. Click this version to view or download prior versions of the file.
