To create a new WBS for your proposal, open the project structure or WBS tab. The first row in the table of WBS elements is your project or proposal overall. WBS elements are added in a hierarchy below your proposal project:
- You can add, delete or copy WBS elements within your structure:
- Adding creates a blank row directly underneath (with inheritance of a few key attributes like company/site/department and start/end dates) for you to input or search for a reference WBS element to copy in
- Deleting a WBS deletes not only that WBS, but any WBS elements or tasks below it. You are not permitted to delete a WBS if there are any cost estimates (e.g. labor, material or other direct costs) assigned to it or to any of its subordinate elements below
- Copying a WBS copies not only the entire structure of that WBS and everything below it, but also copies any labor, material etc. estimates associated with that WBS. The new WBS elements created are renumbered based on the highest current number + 1
- Any WBS with lower level WBS elements below it will have an expand/collapse arrow next to it. Click this arrow to show or hide the child WBS elements. Click directly on the text description of the WBS to edit it
- If this WBS is one where cost estimating is carried out (a "basis of estimate"), then you will see an 'Open' link in the Estimate column, clicking on which opens the estimate for this specific work-package in another browser tab
- If estimating has not yet been carried out then you will see a 'Create' link in this column, clicking on which converts this WBS into an estimating WBS and creates an estimate for it which you can release and open
- If there any WBS elements above or below the current row which already have estimates associated then this column will be blank because you are not permitted to create one estimate inside another estimate; multiple estimates within the same project or proposal exist side-by-side
- The design to cost or "DTC" for short is displayed, namely the target cost you need to meet to submit a competitive bid
- You can edit the design to cost at any level and the 'undistributed variance' or difference between the DTC you input and the sum of DTC inputs from subordinate WBS elements is displayed
- The total cost of your WBS, based on the sum of all estimates, is displayed. Depending on what columns you add/hide you can see:
- The target or DTC hours for this WBS either directly at this level or rolled-up / summarized from all WBS packages below
- The estimated hours and rolled-up hours for this WBS
- The labor, material, travel and other direct costs, the combined total direct cost, and the indirect and total estimated cost including the rolled-up / summarized cost estimates for the entire WBS. You can access this data in both the local WBS currency and the main project's group or company currency
- The total weighted value of cost-increasing risks or cost-reduction opportunities, as well as the cost including weighted risks (conservative estimate) and/or cost reduction opportunities (stretch goals)
- Other columns not visible below which can be added include:
- What type of work-package this is, for example a basis of an estimate, a task, a
- Owner, approver and when the estimate behind this WBS is due to be completed and submitted for internal approval
- The workstream and sub-workstream, which are essentially a way to classify different WBS elements across many different projects in the same way or according to a common classification
- Profit center, product line or product/service this WBS normally delivers
- Confidence score represented both as the weighted sum of lower level WBS element and their cost estimate confidences (as a %, not editable) and as 1-5 stars (editable)
- Any custom fields or tags defined in your project are available as columns for you inherit from the project SETUP tab or adjust on an individual WBS basis
- You can also see and edit the phase or option each WBS is assigned to
- The proposed start and end dates of each specific WBS can be edited, together with calculation and display of the duration. Each WBS must start and end within its phase or option delivery period, or if none assigned then within the project performance period
- The company and site or department which is delivering this work package. The local currency for this estimate is derived from its department or company
- Checkboxes indicate is this WBS is a work-package (WP) or not. Work-packages are mapped to SAP and are for information only in iPE. You can also mark WBS elements as 'Billing elements' and/or as 'Control accounts' in SAP
- Work-packages can only be assigned within control accounts and you cannot mark both higher and lower level WBS elements as control account, work-packages or billing elements
- You can also control what type of WBS elements can be included under other types, for example Primavera does not permit a task within a task or a WBS underneath a task
- You can also prevent cost estimates from being assigned to any WBS which is not at the lowest level of the structure (excluding tasks). Work with your implementation consultant to set up these rules
- The SAP Project and/or SAP WBS this work-package is linked to, inside SAP. iPE projects can be transferred to SAP to form the project baseline and forecast in SAP and this is the mapping, either input manually by selecting an SAP project and WBS from the lists, or by assigning the top level WBS to an SAP project and then transferring the work-breakdown structure from iPE to SAP thereby created the same WBS inside the SAP project automatically
- There is also a mapping from each WBS or task to a P6ID in Primavera, in order to facilitate transferring schedules between Primavera and iPE. P6ID's are generated based on the Primavera P6 project which defaults based on the opportunity in the field above, and can be manually changed
- You can enter remarks for each WBS which become the basis of your estimating assumptions
- Released basis of estimate WBS will show their status based on where they are in their life-cycle (estimating, submitted, approved etc.). Mouse-over the status to show a gear where you can who set the current status when, and who needs to action the current step
- You can optionally limit the display of WBS elements to only those elements falling in a specific option or phase. Any WBS elements below a phase or option which was excluded from display are also hidden, regardless of what phase they were assigned to
- You an upload or download the WBS list from/to Excel, and save your layouts for specific columns to re-use in future. You can also click on the pencil icon to open WBS details popup (explained further down).
You can drag WBS nodes up or down the structure to move them around. WBS codes are renumbered when you do this
Clicking on the gear icon which appears when you mouse-over a WBS gives a menu of further options shown in the image below, where you can:
- Expand or collapse the entire structure at once
- Add a WBS at or below the current level (clicking the + add row button adds a WBS at the current level). You can also add a specific type of WBS by selecting 'Add (Select Type)' and selecting from the list of allowed types
- Numbering is automatic, so when adding a node at the current level the last portion of that selected WBS number is incremented for the new inserted WBS
- When adding below the current level the new WBS is further indented, and this time the number of the new child WBS is the selected row's number plus a new number "1" on the end
- Copy or delete the WBS (same as row delete or row copy icons)
- Import a reference WBS from another project below the current node, which copies in the entire WBS structure and all subordinate elements, tasks and estimates
- Renumber the WBS elements below the selected node. Numbers are generated automatically based on N.M (with level 1 = Nth entry, level 2 being the Mth entry within N) convention for non-tasks and from an internal number range for tasks. Under certain conditions (for example after sorting the WBS elements by start date for example) you might with to renumber either all WBS elements (non-tasks) below a certain node or the entire structure
- To renumber the entire structure select the renumber option at the top level project-wide node
- When renumbering a structure any cost estimates or risks which refer to this WBS will automatically get renumbered but bear in mind if someone has a report or is used to seeing a different WBS number then renumbering might cause some confusion
- Cascade certain attributes down the WBS hierarchy, for example the site/department, company, work/sub-workstream, phase, start or end or any of the custom or user defined tags.
