How do Authorizations Work

Explains how authorizations work in iPE

User Roles

Every user is assign a role - such as engineer, proposal mgt., project manager and so on. The apps and documents that each user can access is determined by the role they have been assigned, and in some cases by the company/segment and/or site/department you are assigned to.

  • If you do not have access to an app or a document you should have access to, contact your company's system administrator for iPE to verify that you have the correct role assigned

Each job role is set up to access specific applications and documents within that application in one of the following ways:

  1. No access (cannot see the app in your menu)
  2. Display only access to documents based on any of the options 3-6 below
  3. Edit access to your own documents (where "your own" means documents which you created, you are responsible for, you are listed in the pursuit team of, or you are the current approver)
  4. Edit access to documents in your company, business segment, site or department:
    • You will have access to any proposals and projects where your assigned organizational unit is listed as one of the companies, sites or departments contributing to the proposal or project
    • You will have access to any project or proposal estimates which are either assigned to your company or from a proposal assigned to your company as the leading delivery organization
  5. Edit access to all documents across all companies
  6. System admin level access which not only gives you edit access but also the ability to:
    • Create, update and delete templates, including travel trip templates
    • Restore documents which were deleted by other people (as opposed to being only able to restore documents which you deleted)
    • Create, update or delete shared table views

You can see your assigned job role from the ROLES tab, and the company or segment you are part of from the PROFILE tab, in your user profile. The company/dept your user PROFILE tab is shown in the screen shot below. If display level access is not maintained separately, then it is the same as edit access.

You can restrict access to specific secret, confidential or restricted proposals or projects to a finite list of people by maintaining those people in the PURSUIT TEAM tab of your proposal and then checking 'only people below can access' that proposal or project.

This overrides the above authorizations - in other words it does not matter if a proposal or project is in your company or your department; if only people below can access it and you are not listed as one of these people then you won't be able to access it.
