Explains how to create cost estimates for other direct costs

Other Direct Costs

Other direct costs are literally any costs which are not labor, material or travel, for example insurances, legal fees, currency hedging or major subcontractors providing services. It is very easy to add these costs to your proposal, just list them on the "OTHER" tab of your estimate (based on the estimating methodologies assigned to your project).

  1. Click the + to add a new direct cost or the - to delete a direct cost you no longer need
  2. Enter the description (this is mandatory) and optionally select a product or service which closely represents this other cost. If you select a product or service the description the unit of measure, cost element and even unit cost may default from the product or service master if set up
    • The cost element is important to determine the correct cost pool or burden/G&A rate to apply for indirect costs, as well as for profit & loss (P&L) project reporting
    • Select the cost element from the list or enter part of the account text to search for a cost element to assign
  3. Optionally select the site or department, cost or profit center for this cost
  4. Enter the quantity of this other cost item.  If you don't know leave as 1 (zero quantity results in zero cost). The unit comes either from the product or service or click on the unit of measure text to change it e.g. "each" or "hour"
  5. Enter or edit the unit cost. The total cost is simply calculated as the quantity x unit cost. Optionally select a formula (for parametric estimating) or a supplier (for subcontract work for example)
  6. Select the WBS, work-package and/or task this other cost is assigned to. It will be assigned to the estimate by default. Start-end dates (when costs are expected to be incurred) default from the WBS or task selected
  7. Select or enter the start and end dates when costs will be incurred, a distribution curve, estimating methodology and source
    • Select a "LINEAR" distribution curve if you are not sure how the other costs should be distributed between the start and end dates
    • Although not shown you can select an escalation factor for your cost which determines the amount of inflation to apply, based on the cost source date until the start-end dates when costs will be incurred
  8. Optionally select the supplier and/or subcontract checkbox
  9. Optionally select how confident you are in your estimate by clicking on the 1-5 stars. The confidence score is calculated automatically based on your selected estimating source
  10. Although not shown in the screen shot above, you can optionally enter a unit price for these other costs, which are rolled up the WBS to the priced deliverable for T&M based revenue or pricing calculations (M = 'material' which includes these other direct costs)
  11. The total sum of all direct costs is usually displayed above the table in a widget

There is a "subcontract" column you can check to mark major sub-contractor costs in this page, which are reported separately.
