How to Search for your Data in Lists

Updated on

Explains how you can filter data in lists to find what you need

If you cannot find the proposal, project, estimate or risk you are looking for, it could be for any of these reasons:

  1. You are not authorized to view that data. Perhaps you can only see estimates which you created or estimates in your own site or company based on your access role
  2. There are many too records to view and you need to scroll down to find it. Only a couple of screens worth of records are loaded at a time so if you didn't apply a filter then scrolling down may take some time
  3. You have applied a filter which is excluding or hiding that record
  4. Someone else deleted the record you are looking for. Click here for information on how to undelete.

List Reports

Every application in iPE starts with a list. This gives a handy overview of your projects, proposals, estimates or risks; but it can be overwhelming. An example list of Projects is shown in the screen image below.

Filtering your List

You can filter your list by selecting the column or "field" you want to filter by from the arrow in the first filter box in the top left corner (highlighted  in the image above). If required, click on the + button in the top left corner to add a new field box (click on the - and + button to reset the field list).

To filter your data follow these steps:

  1. Select the field you want to filter data in the list below by
  2. Enter the values by which you wish to limit the list
    • For fields with a predefined set of values you should pick one or more values from the list
    • For free text fields type in any words which fall within that field and then click outside the field to trigger the search. Upper/lower case is ignored
    • For dates enter the dates before and after the date you are looking for (if you leave from date blank it will search "up to" the to date, and if you leave the to date blank it will search "from" the from date
    • For other fields like numbers, amounts and so on you can optionally enter from/to (range) or discrete numbers you are looking for
  3. Click anywhere else on the screen to reload the list filtered based on your selections

If you choose more than one filter they are all taken into account together (only data which meets all your filters will appear)
