How to Edit Proposal or Project Requirements

Updated on

Explains how user can update requirements including upload from Excel or linking requirements to DOORS

What are Project Requirements

Project requirements represent the list of "needs" and "wants" outlined to you by your customer in their request for proposal, or by the program management office in requesting a capital project. These requirements might be documented in a formal list, Excel or DOORS, or they might be buried in the text of the request for proposal document. Often-times one seemingly very simple requirement, for example "allow secure access over internet", needs to be broken down into many different individual requirements across various categories such as hardware, coding, training etc. WBS elements of your proposal.

To view or edit proposal requirements click on the "View/Edit Requirements" button in the proposal, services bid or capital project SETUP tab.

Requirements List

After clicking "View/Edit Requirements" you will see the requirement list in a popup as shown below:

  1. Enter the description of each requirement after clicking the + button to add a new requirement
  2. Optionally specify the document/chapter or page reference to the RFP or project initiation document, and/or the requirement number or ID. The requirement ID may also be internally generated and not editable
  3. Optionally assign your requirement to a specific owner who is responsible for making sure your cost estimates account for this requirement
  4. Optionally assign a status to the requirement to keep track of whether it has been addressed in your cost estimate, or not. You can edit the list of status options with your system administrator or implementation consultant
  5. Select the project work-package or WBS where this requirement is most likely to be addressed. Selecting a WBS causes this requirement to show up in the corresponding estimating application
  6. Enter or copy and paste in the requirement's reference or URL from your requirements tracking system such as DOORs. Entering a URL allows you to, for example, maintain on a high level skeleton description of the requirement in this screen and click-through to DOORS etc. for the full requirement detail
  7. You can download this list of requirements to Excel or upload the complete set of requirements from Excel.

You can also use the gear menu to save the view, i.e. what columns to display by default in this popup.

When you manage requirements in an external requirements tool such as DOORs you should only copy and paste the requirement URL into this table, do not bother to copy in all the other information. You can access the requirement through the link. The description, owner,  WBS etc. will not be automatically synchronized or updated between DOORS and this application.
