How to Download Lists to Excel

Explains how to download a list to Excel

Tables or Lists

Data in any table or list in iPE can be downloaded to Excel by simply clicking on the download button in the top-right corner of the table, highlighted in the picture below.

The rows and columns of data you can see on the screen are transferred to Excel workbook format in your downloads folder (as configured in your browser preferences) and can typically be viewed in the footer of the browser.

If your administrator or consultant has created one or more download templates for this table then they will appear in the download button as a menu. Select the desired download template (which uses a very specific Excel template to populate, such as one you might email directly out to a customer or manager), or select download as Excel from the menu for the generic download.

  • Download templates will includes columns even if you hid them from view, or can often be downloads of data from the back-end server directly
  • Downloading directly to PDF will be added in the near future.

Double-click the downloaded file to open it.

Notes:

  1. The data is downloaded exactly as displayed, including any filters. Sometimes, when you can see the elements underneath a collapsible node as "collapsed" in the screen, lower level elements are excluded from the download
    • Common-used tables which have collapsible nodes such as scope/WBS and bill of material have been specially programmed to download all rows, including collapsed rows. This can take several minutes for an extremely large WBS with hundreds of nodes or bills of material with thousands of components
    • Certain columns such as amounts, quantities and code/text combinations are split into two columns with the amount/currency, quantity/unit of measure or ID/number and text as separate columns in Excel. This allows you to sum up the amounts or quantities more easily, and to sort on either column
  2. Other information, based on which columns happen to be visible, are downloaded. You can modify which columns you can see prior to download
  3. Dates, such as "Start" and "End" columns here, are downloaded as Excel formatted dates. They will appear in Excel in mm/dd/yy format by default but you can select the column and reformat if desired
