Explains how to manage due dates in a basis of estimate
Estimating Process
Each basis of estimate or BOE WBS element goes through a series of stage-gates or workflow status, for example:
- Released for estimating by the proposal team
- Costs estimated, and returned to the proposal team to review
- Estimate and BOE approved
- Estimate and BOE rejected and estimated costs being reworked
- Estimate is final and complete
Your company may define a different workflow working with your implementation consultant however the above workflow comes pre-configured for you to use. Estimates can only be edited in the released and rework stages, they can only be viewed in the other stages.
The cost model also gets automatically updated when each BOE WBS reaches the 'costs estimated', 'approved' or 'final' stages.
The image below shows the DUE BY tab of your estimate. Click in the highlighted tab to view the dates and owner for each workflow step of your BOE-WBS.
- Each stage or workflow status is shown as a list. Select the desired view from the "show milestones" picker:
- All steps shows completed and open steps
- Planned steps hides completed steps, only shows only which are in process or not yet completed
- Milestones shows key milestones or groups of similar steps in your workflow. It useful when the workflow comprises more than 20-30 steps
- The due date (for open or current milestones) and achieved on date (for completed milestones) is shown as columns. The due date is calculated when that step is reached based on the lead time (if any) defined in your workflow process template
- The owner and achieved by person are also displayed. Achieved by will be different to the owner if the step was delegated or several people had the option to complete the step but only one person completed it
- To complete the current step or stage of the workflow, select the desired new status or workflow step from the status display and change element in the top-right corner of the screen. This status display and selection is displayed on every tab not just the DUE BY tab. Only approved step owners can complete and stage and trigger the new status, as shown below
- Once a stage is selected the achieved on date and person are populated and the due by date and owner is calculated for the new status. Workflow steps are sorted by default in their expected sequence from the workflow template however you can click on any column to sort the steps by that column
If you revert back to a previous stage or workflow step the "achieved on/by" data for that step is cleared because the reverted step is now open.
