Explains how to review, approve and enter time-off requests for others.

Time-off List for All Employees

You can view time-off requests for any, multiple or all employees by going to manage > people > time-off admin.

  1. Enter the from/to date you wish to view time-off requests for, or select a year to display all time-off requests for a given vacation year. If you leave the dates blank all time-off requests will be displayed
  2. Select the names of one of more employees you want to view requests for. Don't forget to click on the highlighted 'Reload' toolbar arrows in top right corner, to update the list. Leave blank (and click on reload) to show requests for all employees
  3. If you wish you can further reduce the number of time-off requests displayed by selecting one or more time-off types or rules
  4. You can further limit the display of time-off requests by status by clicking on the status link at the top and selecting one or more time-off request status codes. Mousing over the icons/text in the status column shows you more information about the status of that leave request
  5. If you want to create a new time request or adjustment for someone click on the + toolbar button.
  6. Double-click to open or edit an existing time-off request including approving or rejecting it if you are the approver.

Note: only select one employee's name to view requests before clicking on the + toolbar button to create a new request. If you have multiple employees selected the system will just try to create a request for the first listed name.

If authorized, you can create time-off for any employee. For example John is creating a request for Patricia Long. As mentioned above in the first step select an employee and click on '+' icon and follow these steps below:

  1. Select the appropriate Time-Off Type from the dropdown. For example we have selected 'Time off in Lieue'
  2. Select or enter Start and End date of their requested leave. If the leave starts or ends with just a partial (e.g. half) day then select the appropriate fraction of a day to book leave on the first or last day. To book half days mid-way through their leave separate the time-off into two separate requests
  3. Based on these dates plus the full day or half day options the total duration of days will populate. Weekends and other company holidays will not be counted for calculating leave duration. In rare exceptions - for example if an employee is working variable hours per day and leave on one day is longer or shorter than on another date - you can manually adjust the calculated leave duration
  4. The ending Balance will move up or down based on their current balance, forecast accruals until end of leave, and total leave duration for this and any other future submitted requests prior to this leave's dates
  5. Click on submit button and the request will go to the employee's manager for approval (depending on how your workflow is set-up).

Notes:

  • You may not enter multiple leave requests on the same day for the same employee if the total resulting absence exceeds one day
  • Leave requests will impact the employee's forecast balances (based on the leave return date) as soon as they are submitted, however they will not impact the employee's current remaining balance until they become "taken". Time-off requests become taken only when they are both approved and are in the past
  • If you are requesting leave which spans two separate vacation years, e.g. from Dec 24th to Jan 3rd when the vacation year runs from Jan - Dec, split the time-off into two separate requests (one from Dec 24-31 and a second one for the new year from Jan 1-3).
