There are two ways to adjust time-off balances:
1. Manually input time off balance adjustments
2. Data load of balances from an excel template using employee balance import mapping
Option 2 (data import of balance adjustments) needs help from your iBE support consultant and adjusts the opening balance in the employee record which is slightly more accurate as compared to a manual adjustment which updates credited days. Option 2 is explained here.
Excel Template for Time-off Balance Load
As the image of excel upload file shows, iBE imports data from an excel file in xls or csv format. You can download the template by either
- Clicking on \/ more toolbar button in employee list and selecting "Import Data" and then clicking on "Download Sample File" from the popup (admin users only), or
- Going to System > Data > Data Import/Export and clicking on the Employee Time-off Balances Import mapping and then from this mapping click on the source file link to download the template file
Enter your information to upload in the excel template format, taking great care to ensure that employee ID, time-off code and valid-from date (start of vacation year) are in the right format. You must enter codes not texts for employee and time-off code in the file. Go to time-off type settings to view the time-off codes.
