Adjusting Time-off Balances

There are two ways to adjust time-off balances:

1. Manual time off balance adjustments

2. Data load of balances from an excel template using employee balance import mapping

Option 1 (manual time-off balance adjustments) can be input by end users but they adjust credit days as opposed to adjusting the opening balance. Option 1 is explained here.

From the list view of time off admin (for other employee balance adjustments):

  1. Select the name of the employee you wish to adjust time-off for
  2. On the top right corner click on 'V' icon and click on 'Time-Off Balance Adjustment' and you can request a time off balance adjustment as explained below.

In the popup to adjust your time-off balance:

  1. Select a time-off type form the dropdown. Currently we have selected 'Paid Time Off'
  2. Enter number of days. You can (and often will need to) enter fractions of a day using decimal point notation
  3. Check/uncheck whether you want to add or deduct from remaining balance. Here we want to 'Add to remaining balance' because the current balance is too low
  4. Press Submit and your request will go to the HR admin or employee's line manager for approval (depending on how the time-off adjustment approval workflow is set-up)
  5. Once approved the employee's remaining balance will be adjusted up or down (and you can view the status in their time-off list view)
  6. You can view that employee's increased/reduced time-off balance by going to manage > people > time-off balances tab.

Note: Balance adjustments cannot be cancelled once they are approved. If they were entered in error please post a reversal balance adjustment. Avoid posting time-off balances dated in the future.

If your system administrator has set-up iBE to allow employees to adjust their own time-off balances (under System > Setup HR > Time off Types > make sure 'balance adjustment' is unchecked, as highlighted) then employees are permitted to make their own adjustment, subject of course to approval by HR or by their line manager.

Go to My Time Off and click on 'V' icon and click on 'Time-Off Balance Adjustment' and you can put in a request for a time off balance as explained above.
