How do I Change How Many Hours someone is Working?

Explains how an HR or a Manager can change any employee's working hours. Time-off balances are also visible in this tab.

How to change working hours

An HR or Manager has the rights to view or change someone's working hours. In order to do so go to Manage > HR > People and follow these steps:

  1. From the list of employees select and double click on any employee row for whom you want to edit the working hours
  2. Navigate to 'Work Schedule / Time-Off' tab highlighted in yellow. Under this tab you can see Robert Hansel (employee) is currently assigned a work schedule of 8hrs/day and has standard time as 40 hours allocated per week
  3. From the work schedule dropdown you can select any other working hours and assign to Robert. For example now we have assigned 37.5hours/week
  4. Click on 'Save' icon and the changes will reflect next time you open this employee.

 

Notes:

  1. The work-schedule defines not only the working hours per day or week but the fixed public or company holidays (which are often country specific) and the overtime rules to apply to this employee (based on the timesheet type associated with each work-schedule)
  2. Only work-schedules valid in your employee's country (set in PERSONAL tab) will be selectable
  3. There is a difference between a work-schedule of 8 hrs/day vs. 40 hrs/week. An 8 hr/day work-schedule means anything over or under 8 hrs in a given day qualifies as overtime or missing time respectively. With a 40 hr/week work-schedule the employee is on flexitime and can work more or less than 8 hrs per day as long as they put in 40 hrs for the entire week.
