Recording Time for Others

Explains how an Admin or a Manager who has the rights can record time for his/her employees or consultants

If you are the Admin or a Manager of a team you can record time for your resources. In order to do so you need to have the rights to create, edit or reject anyone's timesheet (Time Admin app). Go to Manage > HR > Time Admin to view timesheets for your employees. Here you can:

  1. Filter the list either by 'My Team's Time' or by 'Everyone' as well as by 'Status'. 'My Team's Time' means time for everyone who reports to you (where you are their manager in HR) whereas 'Everyone' means literally everyone (if you are admin user) or everyone you are the HR representative for (if you are not an admin user)
  2. Select a particular 'Employee' from the dropdown to see his timesheets, and to do edits or  create new timesheets for that individual
  3. You can also select dates for which you want to see/edit the timesheets. New timesheets will get created for the timesheet period containing the "To" date listed above in the iBE screen image.

Always make sure you select or enter the employee's name first before trying to create a new timesheet for someone. Even if that employee has no pre-existing timesheets you must still select their name first and then they can be the basis for creating a new timesheet.

To create a timesheet do the following:

  1. Select an Employee from the dropdown
  2. Create a new by clicking '+' new icon on the top right corner
  3. Select Customer and Task assigned to him/her
  4. Enter time for each day in the cell
  5. Click on Submit Timesheet

To edit an existing timesheet - either from running Time Admin and or after reviewing timesheets sent to you to approve - do the following:

  1. Double click on the time entry or click on 'Pencil' icon on the right
  2. Changed times, dates or projects and tasks (e.g. from 2hr to 4 hr for Thursday) just as you do in my time
  3. Add a remarks and/or locations if appropriate
  4. You can save the timesheet for later or Submit it right away if you are done with that person's timesheet.
