Recording Task Delivered Quantities

Updated on

Explains how to record quantities in a timesheet

Quantities may be recorded in a timesheet for two purposes:

  1. To update the task delivery quantity for tracking or billing (fixed price) purposes
  2. To compute the hours worked (in timesheet) based on input quantity x unit time

If your task type is configured with actual task quantity update from timesheet, anytime a quantity is entered into the timesheet it is automatically added to the task actual or delivered quantity. To do this create a new or open an existing timesheet and from timesheet details either:

  1. Enter the number of units you have delivered in the appropriate timesheet cell for the task and day when you performed your work and completed this quantity of units, classes, pages or task's unit of measure, OR
  2. Click on a cell and enter the quantity of units delivered in the quantity field at the bottom
  3. In either case the total quantity delivered for that task over the timesheet is displayed on the far right.

Note that if you enter a time unit such as 2h or 0.5d then your input will be interpreted as time and no quantity will be recorded. You can view or edit the cum-to-date task delivered quantity in the task details > DATES/QTY tab.

You can also enter the quantity delivered in the quantity column of the timesheet daily or list view.

Computing hours Worked based on Timesheet Quantity Input

Computing hours Worked based on Timesheet Quantity Input

If your task has a unit time, then as you enter task quantities as outlined above, the time worked will be automatically calculated.

For example, John produces bottles and takes 5 hours for each bottle. The unit time is 5 hours. John had a rough day and only produced 2 bottles today. After entering 2 in his timesheet, the task actual quantity is increased by 2 and the timesheet hours for today are automatically calculated as 2 x 5 = 10 hours.

As the screen shot above illustrates - when the user enters the quantity in their timesheet:

  1. This quantity is copied into the quantity delivered in timesheet cell details at the bottom (and updated in task quantity)
  2. The work time is calculated as unit time x quantity input and defaults back into the same timesheet cell
  3. The hourly totals for the day and task are calculated in the totals column (far right) and row (bottom).
