Explains what can go wrong and how to fix it
User Cannot see their Task in their Timesheet
Sometimes your employees or contractors may complain because they cannot find their task to book time to. This is normally because of one of the following:
- The task is new and has not yet been set-up. Get their project manager to set up the task and assign them as a resource
- The task is in the project but they are not assigned as a resource. Either assign them or mark the task as open for "all employees to book time" in the task details > RESOURCES tab
- They are assigned but the task is marked as completed (and was completed prior to the date they booked time). If there is more work mark the task as open (by unchecking the DONE column in task list) or modify the actual finish date in task > DATES / QTY tab to a date later than the timesheet entry
- The task is open but this resource is marked as complete. Re-open or uncheck the DONE indicator for their resource in the task > RESOURCES tab
- The task is open but is not yet due to start until sometime after this time entry. People cannot book time to tasks for an incurred date prior to the start date of that task. Modify the task start date or book time after the task is meant to start
- The employee was not yet hired on the day they are booking time. Modify the employee's hire date or tell them to book time on or after their hire date.

User Cannot Edit their Timesheet
Sometimes your employees or contractors may complain because they have been asked to correct their timesheet and cannot - either because they cannot find their timesheet or they cannot edit it. This is normally for one of the following reasons:
- Timesheet is still submitted or approved and its status does not permit the employee or contractor to edit it. Submitted and approved timesheets are normally only editable by time admins. Reject the timesheet before it can be edited by the employee or contractor
- The user is not entering the correct from/to dates in their timesheet list to view the timesheet. This usually occurs when the rejected timesheet is more than six weeks old, because the default from/to dates are from today going back six weeks. Make the from date (highlighted above) earlier to view more timesheets
- The timesheet was deleted. Only the person who deleted the timesheet has permission to open their deleted items folder and undelete it. In extreme circumstances, re-create the timesheet. Or contact your iBE support consultant!
User Cannot Enter Desired Hours Worked
Sometimes your employee or contractor may say they could not enter their hours, and may email you their information. You (the system administrator) has a choice whether to input the time on their behalf or send back the email with instructions/request to enter their own time. Reasons someone may not be able to enters their own time include:
- They cannot access iBE because they forgot their password or they do not have a user profile assigned yet
- They cannot access iBE because they are offline. They can use iBE's iPhone or Android app to record time offline
- The timesheet is no longer editable (as described above) or they cannot see their task (as described at the top)
- They are trying to enter more than 24 hours in a given day, for example because they are recording equipment usage in their timesheet at the same time as recording time worked. Separate equipment usage either as a task quantity or as a separate (dummy) resource to record time against
- They are trying to enter more than they maximum allowed work-schedule hours and your system administrator has configured the timesheet to only permit time entry up to the maximum work-schedule hours. This normally comes as just a warning when saving the timesheet but as an error when submitting the timesheet.
