Once you have opened an existing or created a new timesheet, you will normally go to the timesheet overview, showing all your time entries for the week (or alternative timesheet period).

  • The top section of the screen is a table with rows for each customer, project & task and columns for each date
  • The lower section provides a series of tabs with detailed information on each task/date entry as well as general overview information.

If you have task timers pending they will be automatically imported.

 

In the timesheet overview you can:

  1. Click on add row '+' icon to enter time against a new customer, project & task or department. Or click on the delete 'x' icon to remove an editable task's time for the whole week
  2. Select the customer, project & task or department to book time to
  3. Check if your time is billable to an outside customer or not. If the time is billable on an hourly basis you can mark it as non-billable
  4. Enter the hours or days, hours and minutes that you worked on that particular task for that date. You may enter decimals or fractions of an hour (e.g. 1.25h), or hours and minutes (e.g. 1h 15m)
  5. As you enter time the total hours by task or by date are compared to your standard work-schedule hours
  6. View general information about this timesheet such as when it is due, total vs. billable vs. time-off hours, your work-schedule and header remarks
  7. Add comments and view rejection comments; or attach and submit files with this timesheet
  8. View the history of changes made to this timesheet.

 

You may only book time to tasks which meet the following conditions:

  • You must be assigned as a resource
  • The task must be due to have started or actually started by the date of the time entry
  • The task must be still open (not finished) by the date of the time entry

You can enter hours by task and date and then save or submit your timesheet without worrying about further details. However if you want to record more detailed information click on any cell in the timesheet (to view the details as a tab as shown above) or click on the small "wrench icon" in each cell (to view the details for that cell in a popup window). The cell details tab or popup provides:

  1. The tab name is the day of the week for the cell which is active. This cell is also highlighted via an editor box in the timesheet grid above
  2. You may enter or select the location where you did the work entered into the timesheet. Locations are useful for example to keep track of state by state travel for income tax reporting
  3. Remarks for each individual time entry, which can be automatically copied across to the customer invoice depending on your customer invoice item category setup. You can make remarks or location required inputs for each time entry in the timesheet type setting.
  4. Indicate whether this particular time entry is billable or not (when booking to hourly billed tasks). If you change the billable status and there is time for >1 day then this time entry is split out from the current row into a new row of the timesheet
  5. Click the link to enter start and stop times or estimated remaining effort to complete the task.
Menu and Navigation Options

In addition to saving your timesheet (using the save button in the top-right toolbar) you can:

  1. See from the large-scale app title the employee's name and from/to dates for the current timesheet
  2. Click on the left or right arrows next to the from/to dates to navigate to the previous or next available timesheet. If you navigate to a period where you don't yet have a timesheet you will be automatically reverted to create mode
  3. Enter or update the default location which will in turn be assigned automatically to all your time entries for this period
  4. Go to the time entry list or detailed time input for the current date or for the entire timesheet
  5. Submit your timesheet
  6. Click on the "more" button for more options or timesheet actions including:

       - Delete the entire timesheet

       - Sharing the timesheet, emailing a link to someone

       - Switching between edit and display mode

       - Reloading the timesheet from the server.

 

It is not necessary to save your timesheet before submitting it, however most companies and the standard iBE.net set-up will not let you edit the timesheet once it has been submitted. Submitted timesheets normally go to the project manager for approval.

All timesheet hours must be booked against an external task and client project, an internal task or an internal department. Only tasks which are due to or have started, are still open and you are assigned to as a resource are available for booking time. You can also prevent people from booking time to certain tasks based on the task type setting.

When you click on the arrow next to the task input field on any row of the timesheet you will see a list of all allowed tasks, with:

  1. The task description. The task code or ID is not displayed but you can still search for tasks using it
  2. The project description below on the left. You can also search for tasks by project text
  3. The customer's name below on the right. You can even search for tasks by customer
  4. When you select a task the project and customer are automatically entered. Alternatively you can start by selecting the customer (in which case you will only see the list of projects and tasks for that customer) or start by selecting the project (in which case the customer is automatically entered and you only see tasks for that project). Start by selecting the customer or project when you are assigned to several projects which all have similar or identical task-lists
  5. If you do not want to book this time to a task you can book time directly to an internal department. Departments must be set up ahead of time. Although your home department may sometimes be defaulted you can book time to any department in case you were being borrowed by that department
  6. If you are authorized to add new tasks and you do not see the task you can add it by clicking the '+' symbol at the bottom. Please note that you should only do this if you are sure that the task has not yet been set-up.

 

If you cannot find your task in the list to book to, then either check or clear the customer/project or contact your client / project manager or administrator to make sure that you are assigned to the task. Or go to the project management app to check the task yourself. Make sure that your assignment is not marked as "done", and that the task is due to or has actually started on or before the date you are booking time.
