Explains what to do if your timesheet is rejected or you realize you made a mistake after submitting your timesheet
What to do if your Timesheet is Rejected?
If your manager rejects a timesheet row for their project or task you will get a message in your inbox as shown directly above (highlighted with a purple box) asking you to resubmit your timesheet. This message comes to your iBE.net inbox and buzzboard, to your mobile phone and as an email. Any comments entered by your manager are visible from the inbox by pausing your mouse over the message text. From here you can:
- Click on the resubmit action icon to resubmit your timesheet for approval (if for example you know it is correct), or
- Click on the document or topic column in your inbox to open up the rejected timesheet. Now you will see the screen at the top. You can also navigate here via the Time > My Time menu as you did when creating new timesheets
- Within the timesheet view you can correct any of the data which caused your timesheet to be rejected including hours, start/stop times, comments/remarks, location or quantities delivered
- Finally as an alternative to clicking on the resubmit action from your inbox, you can click on the resubmit link button in the top-right corner of the timesheet view.
Re-submitting your timesheet sends it back again for approval. If it is rejected again the process repeats.
What if I Realize I made a Mistake in my Timesheet after Submitting it?
People often make mistakes; once a timesheet is submitted it is normally with your project or department manager for approval. You typically are not permitted to edit a timesheet after it is submitted, though each company can implement its own policies for permissions to edit submitted timesheets.
- If you are permitted to edit submitted timesheets then open the timesheet in edit mode and correct it from there
- If you are not permitted to edit submitted timesheets (or the timesheet has already been approved) then contact your project manager or administrator and ask them to correct the timesheet using the time admin. app. Generally people accessing a delegated timesheet via time admin can edit submitted and even partially approved timesheets up until the time when they are billed.
If no-one can correct the timesheet it might be worth considering a modification to the design of your workflow, or asking the billing administrator to modify the billing data during the invoice generation procedure.
Can I Add or Delete Tasks on a Submitted Timesheet?
You can edit a row or task within a timesheet based on the status of that specific task (1). In our example the task or row is rejected so you can edit individual time entries in that row, add new time entries, or delete the entire task or row if it is not longer required.
The timesheet header status shown in the top right corner (2) controls whether you are permitted to add new tasks or not. If the timesheet header is a status which permits you to make changes, such as created or rejected, then you can add new tasks to the timesheet by clicking on the add row '+' icon.
The status on the timesheet header normally reflects the "lowest" or "least advanced" task. For example if:
- Some tasks are submitted and some are approved then the timesheet will be in a submitted state overall (you cannot add tasks)
- Some tasks are submitted, some are approved and some are rejected then the timesheet will be in a rejected state overall because "rejected" is less advanced state as compared to "submitted" (the task needs to be resubmitted again).
