Copying Documents vs. Creating from a Template
You can copy documents or create new documents from a template. Both options are similar, however templates are created in advance and are not active documents.
Use 'create from template' when you have alot of different 'templates' to copy from and don't want them to clutter up your active document search lists. Use copy as outlined in this section when you want to copy a live or active document and/or did not make time to create a template ahead of time.
There are two ways to copy live documents: from the search screen or from the save options menu.
Copying Documents from the Search Screen
To copy a document from the search screen, first highlight the document you wish to copy by clicking on it once, and the click on the "copy" button in the main toolbar (overlapping papers, highlighted).
If you double-click on a document from the search screen by mistake it will be opened before you have a chance to click on the copy button. Go back to the search screen using the back button or opt for copying from the save options menu instead.
When you copy a document you will go into create mode for your copy.
- The document code or ID will be blank for you to enter or let the system assign depending on how its number range is set up
- The description or name will be copied with the word "(copy)" on the end, normally you should wipe out and replace the description
- Everything else is copied from the selected source, with some exceptions. For example, time or expenses booked to tasks are not copied with a project.
Make sure you save your copy before leaving.
Copying Documents from the Save Menu
If you open the source document, or you are editing a document and you want to make a clone or copy, pause your mouse over the save button to bring the save options menu. Select "Save as Copy" (highlighted above) from the menu.
The document you had open will be saved as a copy and instead of the original document, you will now be editing the copy.
