Managing Users of your Account

This article explains how to manage and invite users as well as how to reset passwords. It also covers updating basic information such as type, preferences and dashboard widgets

Accessing My Account

Accessing My Account

To access users:

  1. Go to System > My Company > My Account & Users
  2. Click on the "USERS" tab.

The USERS tab lists all your users with columns showing:

  1. Each person's name, phone and primary email address which is the same as in their employee profile
  2. Their iBE.net userID and type of use, which you can change right from this list. Click here to find out what different user types can do
  3. Each person's job role which is also used to give them access to job-role specific menus or a restricted set of apps in iBE.net
  4. Their department if you wish to track this information. Click here to learn how to set-up your own departments
  5. When they first became a user and when they last logged into the iBE.net system
  6. Whether they have been locked or not. A padlock icon means that user is locked and cannot access iBE.net.

You can sort by any column and modify this table layout or download it to Excel. Refer to table or list personalization for more information.

Click on the green "Add/Invite User" button to invite someone to use iBE.net on behalf of your company. Fill out their:

  1. Full name (enter first name followed by last name)
  2. Email: if their contact information or email already exists then it will be re-used to avoid duplicate emails. You cannot create two user accounts for the same contact/email in your company
  3. Change the country if the new user resides in a different country to your company. It sets up local time-date and numbering formats
  4. Phone number which should be in the correct format for the user's country
  5. Select the invited user's level of access or user type. You can choose from System Admins, Advanced Users, Standard Users or External Portal Users. External portal users are free and can only access activities which you have activated
  6. Optionally enter a comment which goes into the email inviting new users to access the system
  7. If you selected a user before clicking on "Add/Invite User" button then this user is proposed as a template or baseline for the new user. Uncheck "Copy user xyz" if you do not wish to copy the selected user. Copying is an effective way to ensure the new user has the same dashboard widgets and preferences as the old user.

An invitation email will be sent to the entered email address (2) when you confirm the new user, allowing them to immediately access the system. Do not create or invite users before you want to let your employees know that they can access the new system. You can create employees instead and assign users later.

Double-click on any user to open that user's preferences in a popup (as shown above). From this popup you can edit each user's local date and time formats, contact information, what they search, what widgets appear in their left panel by default, what they are following and more advanced settings.

Select a user (click on that row in the list) and then click on "Lock or Unlock User" (1) to lock or unlock a user. Locked users cannot access iBE.net however information on their account is retained on file in case they become users again in the future.

Alternatively click on (2) "Delete User" to permanently delete a user account. While you can always create a new user, you cannot undelete a deleted user.

Note that licensed user limits apply only to active (unlocked) users and normally excludes External Portal Users or any iBE support accounts in your system. Users are separate to employee and contact records so you can have an employee who is not a user or even a user such as a client contact who is not an employee.
