Document Codes or Numbering

Concept explanation

Document Codes

Documents in iBE.net such as Employees, Tasks, Customers, Leads or Invoices are normally referenced by name and code or number, also termed a "document ID". The document code or number is optional and can be input by the user or automatically generated by the system from what is called a "number range". These document numbering rules or ranges can be customized to almost any desired length and format. You can have multiple numbering rules or ranges for one object such as Tasks by assigning different number ranges to different task types.

Examples of system generated or user input document codes or numbers:

  • 1001, 1002, 1003 etc.
  • 2014-01, 2014-02, 2014-03 etc.
  • AH001, AH002, AH003, AH004 etc.
  • X1A, X1B, X1C, X2A, X2B, X2C

While document codes are normally unique, they don't have to be. And you can allow users to modify user input document codes after the document has been initially set-up. It is recommended to make document codes unique and to avoid changing them after documents are created.
