How to invoke and then use Advanced Search in global search
Calling up the Advanced Search Window

To invoke advanced search, click on the "Advanced Search" button at the base of the search results window.
Using the Advanced Search Window

Apart from entering your search term(s) in the box at the top, the advanced search window allows you to:
- Choose whether you want to search for any of the words you entered (if you entered several words at once), only show document containing all the words you entered or search for the exact phrase you entered in the search box
- Skip documents that contain some other phrase. A box to enter the phrases or words you wish to skip comes when you check "Skip Results Containing"
- Check for alternate spellings to your search term. For example if you entered the term "Fred" and you want to search for the words "fredd", "fr3d" or "fr ed" then check the box for alternate spellings. Results are displayed in order according to how closely the term found matches the term you originally entered. This is called a "fuzzy search" methodology
- Search attachments. By default attachments or files are not searched, however you have the option to scan text from PDF and MS Office attachments by checking the box to scan attachments while you search
- Search only for documents where the name or title contains your search term vs. the default which is to scan all fields of a document for your terms
- Ignore or exclude documents from search results that have not been changed in the last 1 to 6 months. The period to scan back is shown as you move the slider bar left or right. Check "all ages" to ignore the last changed date in your search
- Check these boxes if you want to put documents assigned to your company or legal entity at the top, or if you want to put documents that you own (responsible) or are working on (assigned) at the top of the results list
- You can sort the results by when the document was last changed, by when changed but grouped according to what kind of document it is (e.g. project, customer, employee etc.), by how relevant the search term is to what was found in the document (the default sort order) grouping documents of the same category together or not
- If the business object category list is blank then all documents regardless of what they represent are shown in your search results. To limit the search results to particular documents, for example to only show projects and tasks, add these two categories into the business object category list in the advanced search panel
- Click on the "Search" green button at the bottom to show your advanced search results.
Your selection for items 8 (sorting of results) and 9 (document categories to include) are saved and used for subsequent searches. You can also edit them via user preferences. The other selections need to be redone next time you opt for an advanced search.
Advanced Search Results

After clicking on "Search" you again see the document results list in the same pop-up, similar to basic search results. Only now the document categories and names or titles are organized into columns so that you can sort or search through the search results list using the search icon (1).
As with the basic search double-clicking on a row opens that particular document in a new session or in the same browser tab, depending on your search user preferences.
(2) Click on "Change Search" to re-open the advanced search panel and refine your search.
