How to Change a Task Type

If you create a task which has the wrong task type then you will need to correct this. Normally you can do this on any screen where tasks are editable - such as my tasks, project > tasks, sales activities or my tickets - by clicking the arrow in the task type field to show allowed values.

There are sometimes restrictions on which task types can be used for example:

  • You can only select a task type which is a ticket in my tickets
  • You can only select a task type which is a sales activity in contact, customer or opportunity sales activities tab
  • You can only select from allowed task types for project type from within project > tasks.

Restrictions when Changing Task Type

The task type controls fundamental task attributes and behaviors so while you can generally change task type without interruption the system performs the following checks and balance any time you try to modify the task type:

  1. You cannot change from a task type supporting scheduling with constraints to one which does not support this complex scheduling
  2. You cannot change from a task type which is quantity based (fixed price) to one which is not quantity based (T&M)
  3. You cannot change from a task type which is a milestone to one which is not a milestone
  4. You can change a non-billable task to make it billable but you cannot change a billable task to a non-billable task type unless no billable time or expenses have been booked to this task until now. In general you should not change a task type from billable to non-billable or vice-versa
  5. If the new task type has a different workflow template to the old task type then you will asked to select which workflow step per the new task type's workflow template best applies to the current task's state.

What to do if you cannot Change a Task Type

If you cannot change a task type for one of the above reasons the best thing is to create a new task of the correct type and either complete, mark as done/close, delete or simply run-out the old task.
