How to view, list and search for projects, as well as tracking key metrics or performance criteria on your projects

Project List

Go to Tasks > Projects to open the search list of projects that you own or which you are working on. By default you are only permitted to view or open projects where you are either the leader or an assigned resource.

Like all search views, the project list contains some filter options and a multi-column table, with:

  1. Clickable links to show just projects which you own (where current user is the project leader or manager) vs. projects you are working on or assigned as a resource, or a combination of both. "All" does not literally mean all projects (unless you are an admin user), it means projects you own and projects you are working on
  2. Projects can be optionally subject to workflow. To filter projects which have a status according to what step in the workflow they are at, click on the "All Status" link button. All possible steps in the different project workflow(s) are displayed, with project counts, for you to select which status you want to show search results for
  3. You can also filter the project list according to project type or project leader (if you are listing projects that you are working on). Click on the "Advanced Filter" button to show more filter options including customer, your company or legal entity, department and the project start or finish
  4. The first column is the project progress - a traffic light. This column shows the schedule performance as a green/orange/red traffic light together with the percent complete for the project as blue shading. Completed projects will be blue and projects that are not started and not due will be grey. Otherwise the green/orange and red color represents on schedule, late but recoverable, or behind schedule
  5. The project code or ID and description are shown next
  6. The project type is shown as white text on grey to indicate what kind of project it is. Some projects e.g. internal ones do not have customers or billable amounts
  7. For external projects you see the customer
  8. Next is the project leader or manager
  9. The project start and end dates are displayed next
  10. The second last column visible by default is the project actual effort, or the sum of all time booked to all tasks within this project
  11. The last column visible by default before the edit/open pencil icon, is the amount "TO BILL". This is the sum of all unbilled revenues on timesheets, expense claims and project purchases, which are approved and ready to bill.

You can also add columns for additional project metrics from the column personalization menu. Additional columns or metrics you can display in the project search screen include:

  • Actual costs, efforts and revenues. Similar to planned costs and revenues, actual effort is based on actual hours booked, cost is based on actual hours multiplied by each resource's cost rate, and revenue is based on T&M hours booked or delivered quantities for fixed price or milestone based tasks
  • Attachments showing any files or documents linked to the project with a simple way to upload new files
  • The total cost budget for the project
  • Number of tasks which have been previously closed on this project
  • Comments on the project as a whole
  • The primary customer purchase order number or funding document
  • The project's planned start and finish dates
  • The forecast hours and cost. Forecast hours differ from planned hours in that they are influenced by actual hours booked in the timesheet.   • The current forecast costs equate to forecast hours multiplied by each resource's standard cost rate
  • The amount of $ previously invoiced to customers for this project
  • The total value of all customer purchase orders or funds, as well as the customer funds remaining
  • The percent complete of the project as a number 0-100
  • The total planned effort on the project, i.e. the summed of planned efforts on every task for every resource
  • The total planned cost of the project, i.e. the planned efforts multiplied by the applicable employee standard cost for each project resource (employees or contractors)
  • The total planned or projected revenue of the project, calculated as the planned efforts for each task and resource multiplied by the time & materials billing rate for each resource. Fixed price, milestone or retainer task revenues are not derived from the resource planned efforts, but instead their revenues are calculated based on planned quantity multiplied by each task's service price. These prices can be optionally maintained at project level
  • The recognized revenue as calculated from projected and incurred revenues using the revenue recognition method
  • The overall projects' status e.g. in planning, initial phase, billing or closed
  • The total amount which can be billed on this project ("To Bill" above). This figure is made up from any time or expenses booked to T&M tasks which is approved, plus any delivered / actual task services or other deliverables
