Explains how to invite people, the project resources tab and who can view which projects
Assigning a Resource to your Project via a Task
You need to assign resources to your project in order to give them access to open the project and to let them know that they are working on your project if you did not assign them to a task. You need to assign resources to tasks within your project before they can book time or expenses, as well as letting them know which tasks they are working on.
To assign resources to tasks in your project, go to Tasks > Projects and open or create your project. Add a task to your project and then click on the task resources column (1). Type all or part of someone's name or click on the down-arrow to see a list of possible resources to add.
When you assign resources to any task within the project (1) they are automatically assigned to the project (2).
Assigning Resources Directly to your Project
If you are not ready to decide who is working on what task, you can invite resources directly to your project. Go to Tasks > Projects and create or open your project and click on the RESOURCES tab (1).
Here you will see a list of existing resources. You can:
2. See their contact information to send them a welcome email
3. Click on the "+" icon to add a row and then either start typing the name of the resource you want to add or click on the down arrow to show a list of all your employees and external client contacts
- You can add external client contacts to your project provided you have set their email up in the system, though they won't have the same access rights as your internal users. Click on the "+" sign at the bottom of the list of contacts to add a new contact on the fly. You can choose not to allow external contacts to be assigned to tasks
- If you select more than one resource from the list then separate rows are added to the resources list for each new resource you selected
4. Check out their billing rate code. Rate codes usually need to be set up in the employee record beforehand. If there is a rate you will see it in the RATE CODE column together with their cost rate as a tooltip. Refer to the RATES tab to see their actual billing rate
5. Check out their work-schedule which also comes from their employee record, as well as the default utilization when they are assigned to tasks. You can edit the default utilization if for example you know they will be only part-time on this project (for 50% enter 0.5).
Deleting Resources from your Project

Click on the 'X' icon next to the resources name to delete a resource from your project. Doing this removes their billing rate information from that project and removes them from tasks in that project. It does not delete their contact information.
If the deleted resource is on a task in your project then you can also remove them from tasks (provided they did not book time already) as shown in the pop-up message below.

- Click on "Yes" to remove that resource from the project and all tasks in the project.
- Click on "No" to keep that resource in the project.
You should keep resources in the project if they are assigned to tasks within that project.
