What are Internal vs. Billable Tasks?

Internal tasks are tasks to deliver internal work such as operating your business, a re-organization of something or an internal improvement project or new system implementation. These tasks may improve your business performance going forwards but they do not bring in external revenue.

Billable tasks are tasks generally requested by an outside client or customer to deliver work for which they are willing to pay. Your revenue and bottom line are directly impacted by being able to bill a client for work done on this task.

The way in which you bill your client for external tasks may vary from pure time and materials, to fixed price or fixed milestone payments, to monthly recurring payments such as retainer, or cost-plus for Govt. contracts. All types of externally funded tasks, whether T&M or fixed rate, are billable.

How do I Create an Internal vs. Billable Task

To create an internal or external (billable) task select the appropriate task type (highlighted above). Task types can either be for internal work such as "internal", "enhancement", "send email" or "call", or for time and material, fixed or milestone billable client deliverables such as "billable-fixed", "helpdesk ticket", "billable T&M" or "change request". This is managed by your system administrator in task type settings.

To change a task type once a task has already been created select a different task type from the list that comes on clicking on the show list down arrow (highlighted). You may or may not be permitted to modify the task type depending on whether time has been booked or invoicing has already taken place.
