Adding a Resource from Task List Overview

Adding a Resource from Task List Overview

The easiest way to add a resource is to click on the RESOURCES column (highlighted) in Project > Tasks or My Tasks and then select your resources from the list of contacts and employees in your company. Anyone you select is considered to be working on that task.

1. The list of people to choose from is displayed in alphabetic order of first then last name with the six most recently chosen people at the top for convenience. You can also see their online status, job title and preferred email in case you want to contact them directly

2. iBE.net allows more than one person, team or group to work on a single task. Consequently you can select one or multiple resources. Click on the box at the bottom to quickly select all or no resources from the list

3. Existing task resources are indicated with a tick symbol next to their name. Unchecking an existing resource removes them from the task unless they have already booked time to this task in which case you have to mark them as done instead of removing them from the task.

Adding and Removing Resources from Resource Details Tab

Adding and Removing Resources from Resource Details Tab

After opening a task details, click on the RESOURCES tab (highlighted) to show the list of people working on the task. Here you can:

  1. Add or remove resources by clicking on "Add" and then selecting or entering their name in the box below the RESOURCES column
  2. Add yourself by clicking on "Add Me" link
  3. Adjust the planned effort for each resource to deliver their portion of the task from the outset. This is not the same as the task duration. The planned effort is the total work (and cost) you estimate up-front to complete the task
  4. Adjust the remaining effort for each resource to complete their portion of the task from current state. If the task is half complete then the remaining effort might be half the original planned effort. But if the task is over-running or taking longer than originally expected, the remaining effort plus actual effort might be higher than the planned effort you maintained at the outset
  5. The forecast effort is calculated as the actual effort expended until now plus the remaining effort. If it is higher than the planned effort the task is taking longer than anticipated, and if it is less than the planned effort the task is taking less time than anticipated
  6. The % complete is calculated as the actual effort divided by the forecast effort. Depending on how the task type progress method is set up, you will be able to manually edit either the % complete or the remaining effort, not both at the same time.

In the example above the planned effort for Richard is 20h and he has already worked 3h and has 17h remaining to go. Not surprisingly, the forecast at complete effort is 20h, the same as the planned effort. His percent complete is 3/20 or 15%.

What Happens When You Add a Resource to a Task

Alot of stuff happens when you simply add a resource to task, including:

  • That resource becomes assigned to the task and can book time to the task provided it is after the task's start date
  • Any workflows or document approvals routed to the people working on the task will now go to that person
  • The planned cost for the task is updated, by adding the planned hours times their cost rate to the task costs
  • The planned revenue for the task is updated, by adding the planned hours multiplied by that person's billing rate on this project
  • Progress, earned value and the percent complete for the task is recalculated because now there are more resources so more work to do to complete the task
  • If you have acceptance method defined in your task type the added resource will either get notified or sent a request to "accept" the new task or meeting
  • The individual you added as a resource will automatically start following this task so they can receive future updates.
