Web vs. Phone Input of Expenses

Updated on

Explains the two different options for input of expenses in iBE - mobile phone or web-application

Input of Expenses via Mobile Phone

Input of Expenses via Mobile Phone

iBE has a mobile phone app for iOS/iPhone or Android which can be downloaded from iTunes here or from the Android store here

In general it is recommended where possible to claim expenses in iBE for your own expenses using the mobile phone app because you can:

  1. File expense claims from your phone with all the features of the web-application even when working offline
  2. Import bank card transactions from a bank card or online account linked to iBE
  3. Take pictures of receipts using the camera on your phone and either upload them as stand alone receipts to link to an existing claim, or upload them as you enter the claim
  4. Use the GPS on your phone to automatically calculate mileage distances

Don't forget to submit your claim if it is ready to be approved, something you can do on either the phone app or the web-app. Any expense claims you enter or update on the phone will be automatically created or updated on the web and vice-versa.

Input of Expenses via Web-App

Input of Expenses via Web-App

iBE has a web-application under Expenses > My Claims for employees to enter their expenses. Use the web-application in preference to the phone app to claim expenses when:

  1. You have a ton of expenses to enter and appreciate the larger screen size inherent with iBE's web application
  2. You have a lot of foreign currency expenses to claim. While foreign currencies are supported in the phone the exchange rate look-ups are more accurate in our web application
  3. You need (as an admin) to enter expenses on behalf of someone else
  4. You need to print out your expense claim report as a PDF (perhaps for off-line approval)
