How to add Receipt to an Unclaimed Expense

In your iOS or Android phone, login to the iBE app and click on Expenses > Receipts and follow these instructions:

  1. You will see your existing receipts. Tap the top right corner on the camera button as highlighted in purple to either take a new photo or choose existing from your phone image gallery
  2. We tapped on the option for a new photo as a receipt. Point your phone camera at the receipt and take a photo. You can zoom, scale and move (crop) your receipt photo
  3. In the bottom center you see a clip icon which denotes that the image (receipt) we just took is not attached to a claim. To attach the receipt tap on the clip icon
  4. A list will appear with your unclaimed expense items. Choose the right item to attach the receipt as highlighted
  5. This message 'Attachment updated successfully' and 'icon with plus' signifies that receipt is attached.

If you import this unclaimed expense into a claim the receipt will get imported along with it.

How to add a Receipt from an Expense Claim

In your iOS or Android phone, login to the iBE app and click on Expenses > Claims. Add one or more expense items as normal. From the expense item detail screen tap on "Receipts" and then follow steps 1-3 above, choosing an existing receipt from your library vs. taking a picture of a new receipt.

It is recommended to add receipts directly to a claim as you make a claim unless you have imported bank card transactions.

Tips for Taking Pictures of Receipts

It used to be necessary to put your receipts on a flat-bed scanner in order to make an electronic copy. Now many people take advantage of their phone to take a picture of the receipt. In order to get the best possible quality with your phone it is recommended to:

  • Flatten the receipt first. If it is crumpled reverse the folds and store receipts in future between larger papers not in your wallet to minimize crumpling
  • Take the picture in good light, i.e. turn all the lights in your office up to full power or even shine a desk-lamp onto the receipt. Above all make sure you are not creating a shadow on top of the receipt
  • Get as close as you can, don't just zoom in afterwards. Most cameras can take in focus pictures from as closed as 8-12" away. Zoom in before you take the picture vs. afterwards during image editing to maximize resolution
  • Try to take individual pictures of receipts rather than layout 5 or more receipts together and taking a single picture. While iBE allows you to attach receipts to an expense claim header it is easier to check receipts taken individually as the images will be much larger
  • If key elements of the receipt (such as the amount) a not at all legible maybe the ink rubbed away then very carefully go over the text with a pen or pencil. Check with your company on this policy first as some companies may reject expenses if you "alter" the receipt manually. Don't change the amount of the expense!
