Explains how to import unclaimed bank card transactions into an expense claim
Importing Card Transactions
To import bank card transactions into your claim first create or edit and expense claim and then click on the Import button as highlighted above. You will see a popup listing all pending (i.e. not yet claimed) bank transactions, as shown. From here:
- Select the bank card transactions you wish to import into this claim by checking each row
- Click on the "Import" button. The selected card transactions will now appear as expense claim items
- Complete missing information such as selecting the best expense type, checking supplier, tax (in VAT jurisdictions) and so on
- Classify the expense claim to a customer, project and/or task, or department
- Add receipt(s) as appropriate
- When your claim is ready to submit click on the "Submit" link. You cannot further edit submitted claims.
You can put a mixture of manually entered and imported bank card transactions into the same claim. If you do not see any bank card transactions make sure you added your bank card first.
Reviewing Imported Transaction Details (from Claim)

If you click on the pencil or edit or view expense claim item details you can see the following imported bank card transaction details:
- The amount of the item, which is editable if for example you need to add a cash tip on top
- The date the transaction was imported and when it was incurred (processed by the credit card company). The incurred date is copied to the expense item date at the top and you can edit it
- The supplier's or transaction reference is provided for receipt matching purposes but not copied to the Ref. Doc. field. If this reference is a VAT receipt number you can copy it manually across
- The credit card category as recognized by all banks, also used to determine what expense type or category to import the transaction as
- The merchant's name, copied to the supplier field when there is a matching supplier in iBE
- The credit or bank card's description of the transaction, which is also copied to the expense item description but can be edited.
Apart from the amount, the original imported details cannot be edited.
