When to Check Expense Receipts

If you are approving expenses you often need to check receipts to make sure the amount claimed matches the receipt. You can set receipts as required in your expense type settings.

To check a receipt during approval you must open the employee/contractor's expense claim, either by clicking on the link to view/edit the claim in iBE at the bottom of your approval email, or by double-clicking on the approval message in your inbox, buzzboard or mobile phone app. You can also approve expenses from expense admin.

You must be an iBE user before you can open expense claims from approval emails.

To view a receipt (1) click on the paperclip icon for the expense item you wish to review (as highlighted in yellow). If the employee or contractor attached a receipt to the overall claim then (2) click on the link at the top (highlighted above in purple) to view receipts.

If you cannot preview the receipt (perhaps because it is in MS Word format or a PDF format not supported to preview in your browser) then (3) click the down-arrow button (highlighted above in red) to download the receipt to your computer and double-click the receipt from your downloads folder to view it on your laptop or desktop.
