Analyzing Proposal Costs

Proposal costs, wherever in the world estimates are compiled and submitted, are stored in one central database. It is easy to analyze these costs in the Costing Workbench. Click on the Costing Workbench menu highlighted below and find or filter to search for your proposal. Double-click or click on the pencil to open the Costing Workbench and click on the WORKBENCH tab which is also highlighted) below.

  1. The first few columns represent the left dimensions or row totals. Cost model data is aggregated (e.g. summarized) on the basis of the dimensions or attributes in each row, for example on the basis of Phase and then WBS code/description as shown above
  2. The column headers for remaining columns represent the top dimensions or column totals. Cost model data is aggregated on the basis of the dimensions or attributes in each column, for example on the basis of fiscal year and then direct/indirect cost type or burden type as shown above
    • The attributes you can "report by" or "summarize costs by" are called dimensions and represent all the text and date fields in the cost model
  3. The actual cells in the Workbench represent the measures or attributes you have chosen to report, i.e. what is aggregated or summarized to make up the actual data in this pivot-table or cross-tab. For example the screen image above is reporting on total hours (for labor) and total cost in company currency (USD in this example)
    • The attributes you can "report on" or "summarize/aggregate" are called measures and represent all the number, quantity, effort and money data fields in the cost model
    • If you report on more than one measure they become additional columns, one for each measure, as shown above
  4. To modify the row and column dimensions, or the measures being reported, click on the gear and select "Change Rows & Columns" from the menu as highlighted below
  5. To filter the data being reported, for example to only show costs for one country, or a portion of the WBS, or for certain cost elements, then click on the filter icon. After clicking the filter icon select the field on which you want to filter and enter or select one or more values for this field
    • You can filter on several fields at once, only costs which meet ALL the criteria you specify will be displayed
    • Filter values are saved when you save a view of the costing workbench
  6. Click the download button to download the current data being reported to Excel. The data downloads in the same format and with the same row/column totals as you have configured the pivot table in the application prior to downloading.
