Explains how to estimate for travel costs
Travel Cost Estimating
Most programs involve travel so it often important to estimate your travel costs in your proposal, depending on the estimating methods assigned to each basis of estimate WBS element. To edit your travel click on the TRAVEL tab highlighted below, if necessary checking the Travel box on the WORK tab before-hand.
- The proposal, WBS and period of performance of this WBS are displayed at the top for reference
- The total travel cost, design to cost target and total cost for labor, material, travel and other direct costs are displayed at the top. You can hide the summary view using the link just above the design to cost and estimated cost displays
- Click + to add a new travel item, - to delete and the two boxes to copy one travel item to another, to make small changes
- Enter the description of this trip e.g. "From XX to YY for ZZ months". The same trip can be used for multiple travel item e.g. airfare, hotel, car rental and so on
- Select the type of expense this is. Leave this column blank or select "miscellaneous expense" if you are not sure or the travel costs are being estimated as a single figure covering multiple types of expense at once
- Optionally enter or select the original and destination. You can search for an address by city, state or even by entering the airport code for that city, for example EWR for Newark airport outside New York City
- Optionally enter the number of people travelling and the number of trips they will undertake. There is also a currently hidden column for the number of days per trip. This information is used only to calculate the total quantity, with some expense items such as hotels or meals varying in quantity according to the number of days in each trip and other expense items such as airfare only varying based on number of people and number of trips
- Optionally select a lower level WBS and enter the unit cost if it is not previously defined in your trip template or expense item set-up
- The total quantity is calculated automatically as is the total cost (qty x unit cost). You can edit the quantity or unit cost freely
- Other columns not shown which are important to often specify include the:
- Start and end dates, if not inherited from the BOE-WBS
- Cost element to use for classification of the travel cost and proper selection of any overhead or G&A indirect cost rates
- Distribution curve if the travel costs are not to be distributed linearly over the course of the travel period
- Escalation factor if you want to project the travel costs from today up to the future year of incurring the travel
Managing Origins and Destinations
If you cannot find your origin or destination click on the CREATE button highlighted with a purple box above to create a new address. In the popup (shown below) complete the address street, city, state or region, country and nearest airport code(s).
Be careful not to create alot of random addresses as this will clog up the list for others to search for their addresses. Most cities in the US come pre-loaded.
What is a Trip Template and how to I Create One
When you enter several travel items for the same trip you have the option to create a new "trip template". A trip template is simply a list of pre-defined travel items which you can copy into a new travel estimate in one shot, without having to input each item individually.
Click "YES" as highlighted in the popup below which comes when you save your travel estimate to save the checked trip templates. Any new trip templates you define are checked by default, with edited or updated but existing trip templates unchecked.
- Only check a trip template if you want to update it to reflect any changes you made to the items against that trip in the current estimate

To copy in the items from a trip template simple select it from the list of trip templates as shown below.

Then make any changes in the popup, as desired. Changes in the popup do not update the trip template but will default into all the travel items imported from your trip template.
You can add, delete and modify any travel items after importing them from a trip template. You also have the option to update the trip template again, or not, as explained above

- Trip description
- Start and end dates for this trip (normally blank in the template)
- Number of people, trips and days per trip
- Original and destination (often also blank in the template).
