How to Manage my Proposal Team

Explains how to assign team members to your proposal

Team members can also be assigned as workflow step owners in the DUE BY tab

What is a Proposal Team

Your proposal team are the people involved in responding to the bid, including internal resources and external business partners where they help to produce the bid response. Vendors who simply submit quotes to you without helping with the response are not part of your team. Some companies only choose to list internal resources in their team.

At this time there is no link between the resources in MY TEAM and the workflow step owners in the DUE BY tab. Both sets of team members come from the same master resource list, however they are separate pieces of information. For this reason some companies choose to manage team members only in the DUE BY tab, using MY TEAM just to create new owners or contacts if required.

New contacts can be created from the MY TEAM page

  1. From the proposal app, click on MY TEAM tab to access your proposal team
  2. The proposal owner, primary group or company owning the bid, and other sites or departments involved all carry across from the SET-UP tab. You can edit these values here or in the SET-UP tab, they will always be the same in both
  3. If other people are involved in the proposal select "YES" button to show the list or table of team members
  4. Click the + button to add a team member, or click - to remove someone from your proposal team.  Their contact information does NOT get deleted, they are simply removed from the list of team members on this proposal
  5. Select the name of the team member. Type in part of their first or last name to narrow down the search
  6. You can create new contacts or team members from this screen, by clicking on the "Create" button at the bottom of the list. This invokes the popup to enter contact details shown below
  7. If you check the box "Only people below can access" then only the people listed in my team will have authorization to display or edit this proposal, provided of course that their job role has access to proposals in general. Otherwise anyone with access to proposals in general will be able to view or edit this bid
  8. The three action columns to the right of this table are:
    1. Check the "invite" box to send an email to the email address on file for that contact informing them about this proposal
    2. Click on the speech bubble to enter some remarks or comments about that team member such as their birth-day (remarks are shared across bids)
    3. Click on the edit-pencil icon to bring up their contact details in a popup as shown below.

Team Member Details

Whether you are creating a new contact or viewing/editing an existing resource you can access their contact information via the pencil above.

  1. Enter their name formatted as first name then last name with a space in between
  2. Enter or edit their primary phone and email. The primary email is where system workflow and invitation emails will go
  3. Enter their job title and optionally select which internal company site or department they work for. Department is not used for external partners
  4. Click the + to add a contact, such as an email, phone, skype or other social media ID. The address or number must be entered in the proper format (phone, email etc.) depending on the label or type of contact being added
  5. Optionally enter their postal address. Most people ignore this
  6. Optionally enter a remark such as their birthday. This remark is for the contact and so will be visible across all proposals they are assigned to.

Please note that assigned user information is not visible at this time and you cannot create new users from this application
