Getting Started with iBE

First Time Login

As an iBE.net user, you will receive an email from iBE.net with login credentials with a temporary password.  

  1. Click on the "Login" button in the email. It will open the application and automatically log you in.  
  2. Remember your user name, temporary password and client id. Client Id is a unique number for PKSI users and it will always be 787.  You can always refer back to the welcome mail if you forget your user credentials.
  3. On First login it will prompt you to change your password.

To change the password on the first login -

  1. Enter New password
  2. Enter the same password in Confirm. New password and confirm password should be same else the new password will not be accepted.
  3. You have to set the new password based on the policies defined in section 3 of the screenshot. Password can only be changed as per the policy.
  4. Make sure you set your secret questions, which are required to retrieve your password in case you forget it. There is a list of questions in the dropdown and you can choose the ones you think are easy to remember.

Once you have set up your new password. You can login in iBe using the following steps =

  1. Go to URL app.ibe.net in chrome browser to access iBE application.
  2. You will see the login panel for iBE application.
  3. Enter your user name / password and client id as 787. Click on "Remember me" if you trust that this computer is accessed by you. If you click on "Remember me" the login screen will be skipped next time you access iBE.net (until it expires).
  4. Click on Login green button.
  5. Click on "Forgot Password" if you, er, forgot your password or user-name.

How do I Logout?

  1. Click on the "Hello {your name}" link or your photo or initials in the top right corner to see a summary of your user preferences (you also can change formats, language, password etc).
  2. Click on the green Logout button. You will be returned to the Login panel.

Alternatively just close your browser session by clicking on the close tab or close window "x" in your browser (exact layout varies between browsers).

Next time you access iBE.net you will be automatically logged in if you clicked on "Remember me" last time you logged in (and it has not expired).

How to create Timesheets

All timesheets will be filled from Monday to Sunday. Except at the month end the Timesheets will be created for the short period. For example, if last day of the month falls on a Wednesday, timesheet will be created for Monday to Wednesday. System will automatically show you a short period of timesheet.

To create a new timesheet, select the menu option for Time > My Time and you will see a list of all your previously created timesheets. If you have not created any this list will be empty. You can:

  1. Set the "To" date as the date for which you want to fill timesheet.
  2. Click on the + button to create a new timesheet.
  3. A timesheet for the period will be shown with a list of open tasks assigned.
  4. Fill the time against each task against individual days.
  5. Save the timesheet.
  6. Submit the timesheet at the end of the week, after entering all the time for that week. Do not submit timesheets till you have booked time for the entire timesheet period as it will send emails to your respective manager for approval.

How to edit Timesheets

Select the menu option for Time > My Time and you will see a list of all your previously created timesheets. If you have not created any this list will be empty. You can:

  1. Click on the + button to create a new timesheet for the next available or open period after the "To" date shown above
  2. Click on the pencil icon or double-click on any row to open an existing timesheet (in edit or display mode according to its status)
  3. Modify the from or to date, refreshing or reloading the list of your timesheets (showing timesheets between these dates)
  4. Check the current status of each timesheet either from the icon or mousing over/clicking on the status icon to see more detailed status information
  5. View the total time for each timesheet period or week spent, as well as the total billable time and time-off during that period
  6. Display only timesheets for a given status (e.g. created, submitted, approved, rejected, billed) by selecting a status from the "All Status" menu.
